Tradesmen Appointment Reminder Checklist
Use this to check whether your reminders protect the visit, the route, and the next job.
Before the appointment
Send a confirmation with job type, customer name, address, and expected arrival window.
Ask for access details such as parking, gate code, tenant contact, pets, or key safe notes.
Ask for photos, measurements, or part details before travel if the first visit depends on them.
Send a preparation reminder 24 to 48 hours before visits that need the customer to act.
On the day
Send an on the way update when the route is moving and the customer needs a realistic arrival window.
Give the customer one clear reply action: confirm, reschedule, update access, or call.
Make sure replies update the job record, not only a separate message thread.
After the appointment
Record completion notes, invoice status, payment status, and any follow up action while the job is fresh.
Create a repeat service reminder for maintenance, annual service, inspection, or return work.
Keep appointment reminders separate from marketing unless the customer has clearly agreed to promotional messages.
Useful rule
A reminder has done its job when the tradesperson can trust the visit before leaving, and the customer knows exactly what to do if something has changed.
